Privacy Policy
Mavlers.ai ("Mavlers.ai", "we", "us" or "our") is the AI and automation engineering arm of the Mavlers group. This Privacy Policy explains what personal data we collect, how we use and safeguard it, and the choices you have — including how we handle data across AI models, automation workflows and third-party sub-processors. By using our website or services, you agree to the practices described here.
1. Who this policy covers
This policy applies to website visitors, prospective and existing clients, agency and business partners, job candidates, freelancers and talent, and authorized representatives of the organizations we work with.
2. Information we collect
From all users:
Identifiers — name, email address, phone number, company and job title.
Communication data — messages, project briefs, meeting notes and support requests you send us.
Payment and billing information — collected only when a transaction takes place, via secure payment processors.
Technical data — IP address, browser type, device information and usage analytics (see Cookies below).
From clients and partners:
Project requirements, use cases, business context and system documentation.
Content, documents and datasets you provide so we can build, integrate or operate AI and automation solutions on your behalf.
Credentials or access you grant to your systems (CRMs, ERPs, knowledge bases, APIs) strictly for delivery — held under least-privilege and confidentiality controls.
From candidates, freelancers and talent:
Résumé, work history, skills and portfolio.
Work authorization status and, where legally required, government-issued identification for verification.
Optional demographic information provided voluntarily.
We do not seek to collect sensitive personal data — such as bank account or credit-card numbers (payments run through third-party processors), biometric data, or other special-category information — unless strictly necessary, lawful, and with appropriate safeguards.
3. Data used in AI and automation systems
Because we build and operate AI-powered systems, some personal data may be processed by AI models, retrieval-augmented (RAG) pipelines and automation workflows. In that context:
Client data is processed for the client's purpose only. Content and datasets you provide are used to design, build, test and run the solution we deliver to you — not for any unrelated purpose.
We do not use client or personal data to train third-party foundation models. Where we use external model providers, we rely on their enterprise / no-training data terms so your inputs and outputs are not used to train their base models.
Data minimization. We limit the personal data placed into prompts, embeddings and logs to what the task requires, and we redact or anonymize where practical.
Human oversight. Where AI output affects people or decisions, we design human-in-the-loop checkpoints so accountability stays with people, consistent with our AI governance standards.
4. How we use your information
To provide, operate, maintain and improve our AI and automation services.
To communicate with you about projects, support, administrative matters and updates.
For quality assurance, security monitoring, fraud detection and debugging.
For marketing communications you have opted into (you can unsubscribe at any time).
To comply with legal, regulatory and contractual obligations.
5. Automated processing
Some of our workflows involve automated processing. We do not make decisions that produce legal or similarly significant effects about individuals based solely on automated processing without a lawful basis and, where required, meaningful human review. You may request information about, or object to, such processing (see Your rights).
6. How we protect your data
We apply administrative, technical and physical safeguards appropriate to the risk — including encryption in transit and at rest, role-based and least-privilege access, secure development practices, logging and monitoring, and confidentiality obligations for our staff and contractors. No method of transmission or storage is completely secure, but we work to protect your information and review our controls regularly.
7. Sharing and disclosure
We do not sell your personal data. We may share it with:
Sub-processors and service providers — including cloud hosting, AI/LLM model providers, analytics and communication tools — engaged to deliver our services under data-protection terms. A current list of key sub-processors is available on request.
Legal and regulatory authorities — where required by law or to protect our rights, users or the public.
Business transfers — in connection with a merger, acquisition, financing or sale of assets, subject to this policy.
8. International transfers and storage
We and our sub-processors may store and process data in secure cloud infrastructure located in different countries. Where personal data is transferred across borders, we rely on appropriate safeguards (such as standard contractual clauses) as required by applicable law.
9. Data retention
We retain personal data only for as long as needed to fulfil the purposes described here, to comply with legal, tax and contractual obligations, and to resolve disputes. When data is no longer required, we securely delete or anonymize it.
10. Your rights
Depending on your location, you may have the right to:
Access the personal data we hold about you.
Correct inaccurate or incomplete data.
Request deletion of your data.
Restrict or object to certain processing.
Withdraw consent where processing is based on consent.
Request portability of data you provided.
Unsubscribe from marketing communications.
Lodge a complaint with a supervisory authority.
